New York University Abu Dhabi (NYUAD) seeks to appoint a Research Appointment Specialist reporting to the Assistant Director, Research Appointments.

We are seeking a full-time Research Appointments Specialist that will be appointed to support the Office of Research Appointments in all HR and administrative tasks related to researcher appointments in NYUAD. This includes contract management, end-to-end recruitment, and other HR tasks as assigned.

Key Responsibilities:

  • Organize and maintain personal folders in the network drive according to set standards (naming convention, folder order)
  • Maintain an up to date hiring tracking sheet
  • Manage the Security Clearance process for candidates and monitor for any approvals
  • Keep WD and personnel files up to date
  • Distribute acceptance emails and any updates relating to researchers to all the interested parties
  • Prepare and send orientation schedule to the candidate and those concerned on time
  • Arrange Name badges for all researchers prior to their start date
  • Initiate contract renewals in time
  • Prepare and manage the process relating to offer and renewal letters, promotion letters, VS letters etc
  • Any other ad-hoc requirements, as required

Qualifications
Required Education: Bachelors Degree

Preferred Education: CIPD certification or similar

Position Summary

New York University Abu Dhabi (NYUAD) seeks to appoint a Financial Analyst.

Under the general direction of the Director of Fiscal Affairs, the Senior Analyst, Financial Planning and Analyst, is responsible for contributing to the Fiscal Affairs budget development exercise and strategic financial planning.

The Senior Analyst, Financial Planning and Analysis is responsible for developing budget templates, collating information and maintaining communication across critical stakeholders; for example, (but not limited to) the Office of Academic Appointments, Academic Divisions, Provost Admin Units, Controller’s Office, Budget Office, Global Education, Strategy team, Graduate Programs Office, the NYU New York Budget Office, individual department/program heads etc.

The Senior Analyst is expected to manage and deliver products which support the portfolio in yearly budget development and long-range financial planning, including advanced fiscal modeling & analysis, and develop reports and presentations which inform and identify financial risks at both the university and department or individual program levels. They will also be responsible for delivering against the agreed yearly budget development timeline, quarterly projection timeline, and biannual update of the university’s long-range planning model (10-year plan). The Senior Analyst, Financial Planning and Analysis, is also responsible for fielding and addressing queries from budget holders within the fiscal affairs portfolio and across the university when necessary.

Key Responsibilities:

  • Assist the Manager and the Director of Fiscal Affairs in preparing the annual budget in line with the agreed budget development and delivery timeline
  • In collaboration with the Office of Academic Appointments, develop detailed centralized budgets for academic staff, considering key drivers
  • Receive budget estimates from the academic divisions and critically examine them for correctness, accuracy and completeness, including conformance with established procedures, regulations, and organizational objectives
  • Coordinate with all Departments and conduct challenge sessions before consolidating and collating the annual budget. Suggest suitable amendments where required
  • Coordinate with all Department Heads to obtain inputs and budget parameters for Planning. Assist in the compilation of the overall budget for review
  • Coordinate budget consolidation from the different models and divisions/departments.
  • Prepare and support the Director of Fiscal Affairs in delivering budget materials and strategic models for NYUAD leadership, finance and budget committees, including outputs to Tamkeen
  • Working with the Manager and the Director of Fiscal Affairs, maintain and develop the university’s long-range financial plan, ensuring the different models and critical assumptions are updated in line with the agreed delivery timeline to inform the following year’s budget development
  • Manage communication and information gathering across a critical group of internal stakeholders (academic divisions and units that fall under the Provost’s Office, budget office, procurement and controller’s office) to investigate variances against budgets (both revenue and expense) and thoroughly explained. Any risks or issues identified should be communicated to the Budget Office and fiscal affairs to ensure that everyone is aware of these
  • Support the senior university leadership and relevant internal departments in financial modelling and reporting related to critical strategic decisions
  • Regularly meet with the relevant teams in NY who require information from or supply information to NYUAD in support of the fiscal affairs budget portfolio
  • Meet regularly with individual Department heads and critical budget links to discuss budget development, projections, and in-year variances and identify risks/issues ahead of time
  • Pro-actively monitor actual expense and encumbrances against the budget and notify relevant Department Heads regarding any discrepancies. Coordinate and advise on budget modifications, transfers and reallocation
  • Review financial data for reasonableness and accuracy and investigate and resolve unusual budget versus actual variances
  • Monitor budget exceptions and through speaking to the relevant stakeholders and/or submitting budget adjustments resolve these in a timely manner
  • Manage the development of quarterly projections for both centralized budgets (academic budget and OTPS.) as well as individual department budgets – based on budget owner input
  • Develop and deliver financial modelling of academic and OTPS budgets to support strategic decision considerations, ad-hoc in-year queries or policy development
  • Taking into account any material changes within the business process and/or policy/regulation changes which may impact expenses, undertake necessary updates to the academic budget models within long range financial plan
  • Assist in cost benefit analysis of ad-hoc financial requests. Undertake research on alternative and reasonable funding methods
  • Assist in answering queries and resolving issues across the full spectrum of the budget where resources require this
  • Manage and direct day-to-day operational activities of direct reports to ensure timely delivery of activities
  • Provide ongoing career development, support and coaching for direct reports
  • Provide feedback to the team, and identify need-based training requirements for direct reports

Qualifications

Required Education:

  • Bachelor’s degree in Accounting, Finance, or related field

Required Experience:

  • 5 years of progressively responsible financial management experience within a university, government organizational, or not-for-profit organization
  • Experience with budget and finance development and analysis, budget model development and staff supervision
  • Strong financial systems background with proven experience with enterprise financial reporting systems and computer applications such as MS Excel, MS Word, Tableau
  • Strong team leadership and management skills
  • Demonstrated planning, analytical, and problem-solving skills
  • Strong quantitative and statistical modelling skills
  • Ability to work within a fast-paced environment and analytical teams
  • Ability to understand long-term goals and broader planning parameters to frame financial and policy analysis results in a clear, cogent, concise, and compelling fashion
  • Ability to develop accounting/ budgeting policies and priorities within established guidelines and manage and evaluate accounting/ budgeting projects
  • Excellent written and oral communications skills with a proven ability to effectively communicate with all levels of management, government and financial officials

Preferred Experience:

  • Experience in Higher Education institutions is highly preferable

Employee Relations Manager

Key Responsibilities: 

  • Manage grievances and concerns by evaluating claims and gathering required information, facilitating discussions and finalizing concerns/claims by either informal or formal resolution. Ensure compliance with policies, contractual provisions, and consistent practices, and provide direction throughout grievance process to all relevant parties. Engage in negotiations and interpret and uphold policies and contract provisions. Maintain employee relations case documentation, information regarding grievances, etc
  • Provide weekly updates to the Director of Employee Relations and prioritize work accordingly
  • Manage and conduct investigations of employee misconduct and other inappropriate workplace behavior and policy violations. Produce quality oral and written work presenting matters clearly and concisely and provide a clear message to ensure understanding of the findings and to make suggestions for corrective actions
  • Provide Employee Relations Advisory services and counsel to managers and employees on performance management, conflict resolution, reorganizations, progressive discipline, formal grievance procedure/ mechanism and other employment matters. Counsel supervisors and employees on preventing and resolving routine to increasingly complex employee relations matters; mediate disputes; prepare related documentation
  • Participate in developing and delivering employee relations training programs including new employee orientation. Provide advice, counsel and support for management and HRBPs on appropriately handling employee relations concerns whilst ensuring compliance with relevant policies; participate in developing and delivering workshops for supervisors and employees on ER matters
  • Manage NYUAD’s disciplinary process to ensure adherence to University policies and legal requirements. Guide and counsel supervisors and HRBPs in handling disciplinary matters and investigations; prepare recommendations on appropriate follow up action. Coordinate University’s efforts in any mediation and litigation matters related to employees matters. Partner with legal counsel as needed
  • Manage, initiate and facilitate to completion the separation process for leavers of various types. Work with employees, supervisors, HRBPS’s and various administrative units internal and external to HR to ensure the separation process is completed effectively
  • Conduct exit interviews and analyze data and trends to develop ways to improve employee retention and engagement. Monitor current trends and assist with improving/introducing employee relations policies and best practices as appropriate
  • Track completion of Probationary Reviews and monitor any issues requiring follow up measures. Report on the process by preparing metrics. Evaluate individual reports and expedite necessary actions to resolve issues and track results for a timely resolution
  • Ensure compliance regarding time-sensitive matters, (e.g. not satisfactorily completing probationary review, separation process, final payments, etc.)
  • Provide advice, counsel and support to managers, HRBPs and employees on reorganizations & restructures. Manage, initiate and facilitate to completion roles that have been identified as redundant. Partner with employees, HRBP’s, supervisors and various administrative units internal and external to HR to ensure the Redundancy process is completed effectively. Develop and implement separation proposals, communication strategies and hold redundancy meetings with employees
  • Prepare case files for claims made with the Ministry of of Human Resources and Emirtization Labour (“MOHRE”), working with various entities within the University including the General Council, Government relations and Immigration
  • Attend cases at the MOHRE on behalf of the University. Ensure all ER cases are managed in compliance with UAE Labour Law
  • Monitor current best practices in employee relations as appropriate. Review current polices and introduce employee relations policies, procedures and toolkits that reflect best practice to sustain positive employee relations. Partner with HR teams in developing new policies and procedures that contain employee relations matter

Qualifications

Required Education:

  • Bachelor’s degree in HR or a related field

Preferred Education: 

  • Bachelor’s degree or a Professional Certification in Human Resources

Required Experience: 

  • 10 years relevant and recent experience as a Human Resources professional, at least 5 years of which has an Employee Relations’ capacity
  • Previous experience conducting investigations
  • Good knowledge of a variety of human resources areas and experience in advising managers and staff

Preferred Experience: 

  • Recent experience in a higher education environment
  • Previous experience handing complex Employee Relations issues for a diverse, multi-cultural workforce
