Job Functions:

Under the overall supervision of the Deputy Director- General, the Administrative Assistant will be responsible for the following duties:

  • Provide administrative support to the office of the Deputy Director-General General including performing a broad range of tasks and assignments pertaining to human resources, business travel, database management, maintenance of contacts database information, as well as procurement and budgetary matters while ensuring coordination with other relevant units and staff on these matters;
  • Provide administrative support to Directors’ meetings and other meetings, receptions, events and workshops organised by the office, including proposing agenda topics, identifying and proposed participants, preparation of background documents and presentations, handling meeting logistics, and keeping minutes of the meetings;
  • Maintain the Deputy Director-General’s calendar and daily schedule;
  • Assist in coordinating day-to-day related matters to the office of the Deputy Director-General including information flow;
  • Ensure coordination within the Front Office and with other relevant staff on organizational matters pertaining to travel and meetings;
  • Screen and prioritize all incoming correspondence; compile relevant background documents and references; identify issues requiring the Deputy Director-General’s attention and refer others to relevant officer for appropriate disposition; monitor and follow-up on actions to be taken;
  • Draft and/or edit responses to a wide variety of correspondence and communications, including letters, notes and e-mails, while maintaining confidentiality of documents;
  • Prepare, process and classify confidential information;
  • Keep track of incoming and outgoing documents and establishes and maintains up-to-date files (both paper and electronic);
  • Exercise quality control function for outgoing documents; proofread and edit texts for adherence for format, grammar, punctuation and style;
  • Perform other duties as assigned.

Qualifications:

Education: High school diploma or equivalent. Post-secondary education/courses in the area of business administration or other related fields would be an asset.

Experience: Five to seven years of experience in administrative services, office management, or related fields in the area of public administration is desirable. Previous work experience in international institutions, the diplomatic service, or other governmental entities is an asset.

Language: Excellent command of written and spoken English is a must. Knowledge of additional languages is an asset.

Skills: Good knowledge of MS Office with emphasis on Word, Excel and Outlook.

Duties and Responsibilities

Under the overall supervision of the Chief of the Governance Support Office (GSO) and the direct supervision of the GSO Programme Officer, and in close co-operation with other staff in the unit, the Associate Programme Officer will be responsible for the following:

Supporting the work associated with convening sessions and meetings of the Agency’s governing bodies (the Assembly, the Council and their committees) with a view to obtaining the best results for the Agency and all its Members, while meeting agreed timelines, and the highest levels of transparency, accuracy and consistency, while ensuring a smooth conduct of the meetings, by assisting in:

  1. the preparation of a comprehensive annual meeting plan, ensuring that all relevant rules, regulations and budgetary requirements are adhered to, and that previous decisions on the arrangements for meetings and sessions are followed up on in a systematic and comprehensive manner;
  2. coordinating with Divisions on their input and requirements in preparing for plenary discussions of the Assembly, the Council and related meetings;
  3. contributing, together with other staff, to the coordination of administrative, organizational and logistical arrangements for the meetings of the Agency’s Governing Bodies and related special events.

Providing support for meetings including:

  1. registration process for participants for the meetings of the governing bodies, including meeting applications;
  2. drafting letters upon request – invitations, instructions, travel/logistical info, etc.;
  3. anticipating and considering contingency plans in the event of unforeseen incidents;
  4. maintaining the contact data base with all units involved for the timely delivery of meeting participation and requirements;
  5. drafting and distributing evaluation forms; ensuring that feedback is received.

Assisting in other GSO matters, including:

  1. preparing responses to Members’ queries;
  2. maintaining the Secretariat inbox for Assembly and Council, when required;
  3. conducting outreach to non-Members by following-up on previous communications and establishing new lines of communication;
  4. supporting other governance matters as they arise.

Supports the establishment and maintenance of relations, and in enhancing regular channels of communication and involvement on programmatic and institutional matters, with the Members of the Agency, the host country, and other stakeholders, including through:

  1. stepping-up and regularising the communication of programmatic activities / information to Members;
  2. participating in the continued improvement of web-based, interactive communication tools or platforms for IRENA Members;
  3. developing and implementing other participatory processes and opportunities for communication with the membership with a view to maintaining continuous interaction with Members on programmatic activities.
  4. participating in governance-related matters, including the enlargement of the Agency’s membership and expansion of IRENA’s engagement with other relevant intergovernmental institutions and in other relevant intergovernmental processes.

Perorms any other duties as required.

Qualifications

Education: An advanced university degree (Master’s degree or equivalent), related to International Relations, Political Science, Law, Public Administration, Communication or a related field, is required. A first-level university degree in combination with two additional years of qualifying experience may be accepted in lieu of the advanced university degree.

Experience: A minimum of two years of relevant professional experience within an international setting, combined with knowledge of conference services in support of intergovernmental meetings, is required. Experience in servicing international meetings and conferences, and in the work, procedure and protocol of intergovernmental organs, is desirable. Proven knowledge of global energy and/or sustainability issues is an asset.

Languages: Command of written and spoken English is essential. Fluency in other United Nations languages an asset. Good drafting skills are an asset.

Other: Working knowledge of MS Office with emphasis on Word, Outlook, Excel, and PowerPoint.
