Operations Manager
Location: Khorfakkan, Sharjah, UAE

About The Job:
Essential Duties & Responsibilities:
- Generate new business by meeting/contacting existing and potential clients to identify their needs and communicate Agency services available.
- Development of existing business.
- Effective, economical and efficient control of the agency activities to ensure smooth functioning of the branch
- Maintain relationship with existing clients and Ensure expansion and profitability of the branch.
- Visit existing and potential clients as necessary.
- Preparation of PDAs or quotations and close follow-up with owners/operators.
- Liaison with the subcontractors and service providers with a view to get the best services and maximum economical benefit for the company.
- Liaison with the port and other local authorities as necessary.
- Close co-ordination with owner’s representatives and masters of the vessel to plan a successful operation prior vessels arrival.
- Register the jobs with estimation on each job as per the requirements from the finance dept.
- Verify, approve and authorize payments for the subcontractors bills for the Fujairah and Khorfakan Branches.
- Verify and approve of all the invoices for Fujairah and Khorfakan Branches .
- Verify and approve all the vouchers including petty cash for Fujairah and Khorfakan Branches.
- Schedule the service boats and other activities of the vessel and ensure that the operation department is executing the job as planned.
- Prepare service reports or other related messages as necessary to owners/operators during and after the operations of the vessels.
- Arrange license issuance/renewal of Fujairah and Khorfakan Branches in coordination with Admin Service department.
- Renewal of legal documents for agency employees in coordination with HR Department & PRO
- Liaison with External PRO for Administrative tasks.
- Extend periodical help/services as necessary to the commercial dept
- Close liaison with the HO for the follow up of the instructions and requirements of the management.
- Trade and control of the service boats.
- Establish tariff for the service boats according to the local market trends.
- Crewing and maintaining of the service boats with the help of the concerned depts.
- Acting as quality manager for ISO certification.
- Send monthly report/updates of the branch activities to the GM/CEO.
- Any other tasks assigned by Management from time to time.
Minimum required skills and qualifications:
- 10+ years’ experience in Agency Operations (Dubai / Sharjah / Fujairah )
- Job is based in Khorfakkan, Sharjah.
- Ability to generate new business opportunities.
- Development and growth of existing business.
- Strong Communication Skills.
- Bachelor’s Degree.
- Fluency in English. Arabic is a plus.

Senior Operations Officer
Minimum required skills and qualifications:
- 5+ years’ experience in Agency Operations (Dubai & Sharjah)
- Experience dealing with the MOEI, TDRA, Dubai Trade (Mirsal 2 system)
- Bachelor’s Degree.
- Strong Communication Skills.
- Fluency in English. Arabic is a plus
Essential Duties & Responsibilities:
- Prepare documentation & arrange for vessel clearance, visas and cargo clearance required for Port, Immigration & Customs.
- Open job files immediately upon receipt of appointment/request from principals.
- Maintain accurate documentation and records of services and operations performed for vessel customers in relevant job files.
- Liaise with ports prior to vessel arrival, to make necessary arrangements for berthing also prepare all necessary vessel documentation and pre-arrival information.
- Attend vessels at berth for cargo operations and visit as necessary for documentation.
- Attend Immigration for offshore/crew clearance & customs for custom clearance.
- Receives & responds to email, fax and Telephone calls from vessels & customers.
- Update job files with the details of services provided to clients and submitting it to branch manager prior handing over to accounts for invoicing.
- Arrange timely and efficient supply of Spares, stores & services to vessel.
- Maintaining customer wise inventory for spares and arranges onward delivery as per instructions.
- Conduct operational duties in Dubai Branch or any other branch as required.
- Perform additional tasks directed by Operations Manager.
